Credits report
Find families who hold a credit or overpayment for a season, see where the credit came from, email them in bulk, and transfer credit when needed.
Overview
Use the Credits report to find families whose balance is below zero for a season, meaning they have a credit or overpayment on file. It shares its underlying data with the Account Balance (Accounts Receivable) report but keeps only the families in credit, so you can review and clean up overpayments.
Open it from Financials → Credits. On the dashboard Financial Snapshot card, switch to the Credits view, then select a season to open the same report for that season.
A credit means the family has paid more than they owe, or a credit was applied. Use this report to spot credits that should be refunded or transferred to a future season.
Filters
Select the season or program group to review. When you select a single season, a per-row Transfer action becomes available so you can transfer a credit or balance to another season.
Filter by credit source
Above the table, use the source buttons to narrow the list. Each button shows a count:
- All
- Balance transfer
- Adjustment
- Overpayment
A family can match more than one source. Selecting a source keeps every row that includes that badge. The footer Balance total updates to match the filtered rows.
Columns
Each row is a family with a credit balance.
The family's primary contact. Select it to open the profile.
The campers on the family account for the selected season.
The sessions, add-ons, or other products tied to the family's registration.
The primary contact's email, with their phone number shown below it when available.
When the family registered for the season.
The family's total charges for the season.
The outstanding balance. In this report the value is negative, representing the credit on file.
Where the credit came from. Badges can include:
- Balance transfer: credit moved in from another season
- Adjustment: a staff adjustment that created credit
- Overpayment: payment exceeded charges (default when no other source applies)
A row can show more than one badge when more than one source contributed.
A free-text note you can edit inline on the row to track follow-up, such as a planned refund or transfer.
Per-row shortcuts:
- Email this family (mail icon) opens the family profile and starts the email composer.
- Transfer appears when a single season is selected (see below).
The report can also show optional School and profile-field columns, and the footer totals the sum of credit balances for the rows you are viewing.
Send an email from the report
Use Send Email above the table to message every family in the current credit source filter about their credit amount.
- Optionally narrow the list with All, Balance transfer, Adjustment, or Overpayment.
- Select Send Email and write your Message.
- Optionally select Preview Email to open a sample in a new tab.
- Select Send Email in the composer. Campium loads the real recipient list for the selected season and filter, then asks Send credit email?
- Review the season, the active source filter (when not All), how many families and email addresses will receive the message, a short sample with credit amounts, and any note about families skipped because neither guardian has an email on file.
- Confirm with Send Email, or choose Cancel.
Only families in the current view who have a credit and an email on file are emailed. If nobody qualifies, you see a warning instead of the confirm dialog.
Transfer a credit to another season
When you have a single season selected, each row shows a Transfer button in Actions. Use it to open Balance Transfer To Another Season and transfer that family's credit or balance to another season, for example rolling a leftover credit forward to next summer.
- Select Transfer on the family row.
- In Balance Transfer To Another Season, confirm From the source season (the current balance shows under that label).
- Choose To This Season.
- Enter Amount. A positive amount moves a credit out of the source season. A negative amount carries a balance owed forward.
- Review the Preview: ledger entries for each season, and Season balance before and after. Fix the amount or destination if a warning appears.
- Select Confirm Transfer of the previewed amount (the button stays disabled until the preview succeeds).
You can also start the same modal from a family's Sales tab (tooltip Balance transfer to another season).
After you transfer a balance, the ledger records show payment type Balance Transfer, with reasons like Balance Transfer to and Balance Transfer from the other season. Filter to them in Financials → Payments, or open the linked Balance Transfers row from Revenue Summary.
Transferring a credit changes real financial records for a live family. Use the preview to confirm direction and balances before you confirm.
Run the report
Open the Credits report
Open the Financials area and choose the Credits report.
Choose a season
Select the season or program group. Choose a single season if you plan to transfer credits between seasons.
Review credits and take action
Optionally filter by Balance transfer, Adjustment, or Overpayment. Review each family's credit and Source badges, email one family from Actions or use Send Email for the filtered list, add a note where useful, and transfer or refund credits as needed.
