Email Sequences

Build automated drip email sequences that send a series of timed messages to families after they register, and control when each step goes out.

What email sequences are for

Email sequences let you set up a series of automated emails that go out on a schedule after a family registers, without you sending each one by hand. Use them for welcome series, pre-camp reminders, packing lists, countdowns, or any set of messages you want everyone to receive in the same order and timing.

Each sequence is made up of ordered steps. A step is a single email with its own subject and content, and it sends a set number of days after the family registers. Campium queues the emails automatically and sends them when the timing is reached.

Email sequences are automated. Once a sequence is active and its steps are active, Campium queues and sends messages to matching families on its own. Review your steps carefully before you turn a sequence on.

How a sequence is structured

A sequence has two layers:

  • Sequence — The overall container. It has a name, a description, and an Active or Inactive status. You can see how many steps it holds and how many subscribers it has.

  • Steps — The individual emails inside the sequence. Each step has a subject, a description, a status, and a timing value that decides how many days after registration it sends. Steps run in the order you arrange them.

Plan your sequence on paper first. List each email, what it says, and how many days after registration it should send. That makes building the steps much faster.

Create a new sequence

Start by creating the sequence container, then add steps to it.

Open Email Sequences

From the admin navigation, go to the Communication area and open Email Sequences. You see a list of any existing sequences with their name, description, status, number of steps, and subscriber count.

Start a new sequence

Click New Email Sequence in the top right of the page. Campium creates a new sequence for you to name.

Name and describe the sequence

Give the sequence a clear Name (for example, "Welcome Series" or "Pre-Camp Countdown") and a short Description so you and your team recognize its purpose later. Save your changes.

Open the sequence to add steps

Back on the Email Sequences list, click the sequence Name to open its steps. You can rename the sequence at any time using the menu icon on its row and choosing Edit Sequence Name.

A new sequence starts with no steps and stays Inactive until you are ready to turn it on.

Add timed steps

Steps are the emails inside your sequence. Each one sends a set number of days after a family registers.

Open the sequence steps

From the Email Sequences list, click the sequence name to open the Email Sequence Steps page. The page title shows the sequence you are editing.

Add a step

Click Add Step in the top right. A form opens where you build the email for this step.

Write the email

Enter the Subject and the email content, and add a short Description so the step is easy to recognize in the list. The subject and content are what families receive.

Set the timing

Choose how many days after registration this step should send. For example, a value of 0 sends right away, 1 sends the next day, and 7 sends a week after the family registers. This timing is what makes the sequence a drip.

Save the step

Save the step. It appears in the steps table with its subject, description, status, and the number of emails queued for it.

The # of Emails Queued column shows how many messages are lined up to send for that step. Use it to confirm that active families are being picked up by the sequence.

Reorder steps

The order of steps controls the sequence flow. You can rearrange them directly in the list.

Drag a step to a new position

On the Email Sequence Steps page, use the sort handle on the left of a step row to drag it up or down. Release it in the position you want.

Confirm the new order

Campium saves the new order automatically as soon as you drop the row. Double-check that the sequence now reads in the order families should receive the emails, based on each step's timing.

Edit a step

Open the step

On the Email Sequence Steps page, click the step's subject, or use the menu icon on its row and choose Edit Step.

Update and save

Adjust the subject, content, description, timing, or status, then save. Changes apply to future sends from this step.

Turn steps and the sequence on

A sequence only sends when both the sequence itself and the individual steps are Active.

Activate the steps you want to send

On the Email Sequence Steps page, confirm each step you want live shows a green Active badge. Steps marked Inactive stay in the sequence but do not send. Set a step's status to Active when its content and timing are final.

Activate the sequence

Return to the Email Sequences list and set the sequence status to Active. An active sequence with active steps begins queuing emails for families based on each step's days-after-registration timing.

Verify subscribers and queued emails

Check the Subscribers count on the sequence and the # of Emails Queued on each step to confirm families are being enrolled and messages are lined up.

Test a new sequence with a small or internal registration first. Confirm the emails arrive with the right content and timing before you leave it running for everyone.

Statuses at a glance

  • Active — The sequence or step is live. Active steps inside an active sequence send on schedule.

  • Inactive — The sequence or step is paused. It stays saved with all its content but does not send. Use Inactive to draft a sequence, pause one for the off-season, or hold a single step you are not ready to release.

Tips for reliable sequences

  • Keep timing intentional: Space steps so families are not flooded. Decide the day-after-registration value for each step up front.

  • Use clear descriptions: The description helps you scan the steps list and know what each email does without opening it.

  • Deactivate instead of deleting: If you want to pause a message, set the step to Inactive so you keep its content and history.

  • Review before activating: Turning a sequence Active begins automated sending. Confirm subjects, content, and timing first.
