Camper Hub

Track enrolled campers by season, filter by forms or profile fields, send guardian reminders, and update form status and profile fields from one admin roster.

What Camper Hub is for

Camper Hub is the operations dashboard for camper enrollment forms. It lists every camper with an active enrollment in the seasons you pick, along with their account status, key profile fields, and form progress.

Use Camper Hub when you want to see who still needs forms, email guardians a reminder, open the form detail for one camper, and approve, reject, or reset a form without hunting through each profile. For a spreadsheet-style report across many forms, use the Form Status Summary report instead. To email from one form's settings by completion status, see Email users that have not completed a form.

Camper Hub is the camper-side counterpart to Staff Hub. Staff Hub tracks people who started a staff application. Camper Hub tracks campers who already have an active enrollment for a season.

You need the Camper Hub permission (under the Admin category) to open this page. Administrators get it by default. It appears under Admin → Camper Hub (the menu item may show a New badge).

Open Camper Hub

  1. Open Admin in the left navigation.
  2. Click Camper Hub.

When it loads, you see a Season filter, Camper Hub Settings, summary metrics, and a roster table.

Filter by season

Use the Season filter at the top to choose which seasons you want to work with, then click Filter. Clear returns you to the default view. The season list includes past and inactive seasons, not only active ones.

Campers with an active enrollment in those seasons appear below. When more than one season is selected, a camper appears once per enrolled season, and a Season column shows which season each row belongs to.

If you do not choose a season, Camper Hub uses your default season when one is set, or all available seasons.

Read and filter with the summary tiles

Above the roster, four tiles summarize the current season filter:

Summary tiles

  • Campers or Camper Seasons: how many roster rows match the season filter. The label is Camper Seasons when more than one season is selected (a camper enrolled in two seasons counts twice). Click this tile to clear a completion filter and show everyone again.

  • Required Forms Complete or All Forms Complete: enrollment rows where every counted form is finished. The Required wording appears only when every selected season has required forms configured in settings. Click the tile to show only these rows; click it again to clear the filter.

  • Missing Required Forms or Missing Forms: enrollment rows where at least one counted form is still unfinished. Click to show only these rows; click again to clear.

  • No Forms Started: enrollment rows where the camper has not started any of the counted forms. This tile is informational only (not a filter control).

The tile totals always reflect the full season filter. Searching the roster by name narrows the table below, but the tile numbers stay put. Profile-field filters (below) rebuild the roster and the tile totals together.

When a completion filter is active, a short note under the tiles explains what the roster is showing (for example Showing only those missing at least one required form. Click the tile again to show everyone.). When nothing is filtered, the note says Click a tile above to filter this list.

Filter by profile fields

Use Filters (next to Search campers) to narrow the roster by profile answers. The panel title is Filter campers by profile fields. Helper text: Changes apply as you make them. Every filter must match. A Guardian 1 or Guardian 2 field matches campers whose guardian has that answer.

  1. Click Filters.
  2. In a row, Pick a field, choose an operator, then enter or pick a value (Pick one or more, Type to filter, or a date).
  3. The roster updates on its own (status shows Updating...). Add more rows with Add filter. Every complete row must match (AND). Incomplete rows are ignored until you finish them.
  4. Remove one row with the trash control, remove one chip with × when the panel is closed, or click Clear all.

Supported field types: Choose One, Choose Many, Ranked Choice, Text, and Date. Operators depend on the type (for example is, contains any, contains all, contains, is on or after, is empty). You can add up to 20 filter rows. Role-hidden fields do not appear in the picker.

Save as... stores a named filter that everyone at your camp who uses Camper Hub can load from Saved filters. Re-using an existing name replaces that filter. Delete removes a named one. Your last-used filter is restored the next time you open the page.

Export the roster

Above the table, an export toolbar (Copy, Excel, CSV, PDF, Print, Email) exports every camper in the current filter (season, tiles, and profile-field filters), not just the page you are viewing. Tooltip: Exports every camper in the current filter, not just this page.

Work the roster table

Each row is one camper for one season (or one camper when a single season is selected). From left to right, the roster shows:

  • Camper: the person's name (a link to their profile) and email.

  • Status: the camper's account status (Active, Pending, and so on). You can change it in the table and it saves immediately. Changing status for a camper updates every row for that person when multiple seasons are shown.

  • Season: only when more than one season is selected.

  • Profile field columns: any camper profile fields you chose to display. Text fields and dropdowns can be edited in the table; click Save when the value changes.

  • Forms: Started and Completed counts for the forms Camper Hub is tracking. When every counted form is finished, a Complete pill appears. Click the counts to expand form details.

Use Search campers above the table to find people by name across the whole season filter. Choose Rows per page (50, 100, 200, 500, or All) and use Previous / Next to page through large rosters.

Open Camper Hub Settings on the page to control the dashboard:

Pick fields to display and edit

Under Fields to display and edit, search and select which camper profile fields appear as columns. These columns are editable inline for everyone in the roster.

Set required forms by season

Under Required forms by season, choose the forms campers must complete for each season. The Forms column counts only the forms you pick here, and campers who finish all of them are marked Complete.

Leave a season empty to count all of its forms. Until you pick required forms for a season, a callout appears above the tiles titled Choose which forms are required for that season (or seasons). It explains that every form counts toward the totals, the Missing filter can include people who only have optional forms left, and reminder emails list those optional forms too. Use Choose required forms to jump into settings.

Show or hide other seasons

When your season filter is a subset of seasons, click Show other seasons (N) to reveal the remaining seasons so you can still set required forms for them. When you are filtering by active or all seasons, the control reads Show inactive seasons (N) instead, and reveals seasons whose end date has passed. Click the matching Hide… control to collapse that list again. Choices you make for those seasons are kept when you save.

Save

Click Save Settings. Your choices apply the next time the roster loads.

See form progress for one camper

Click the Forms cell in any row to expand a panel titled Forms for that camper (with the season name when more than one season is in the filter).

Each form shows its status (for example Not started, In progress, Pending approval, Approved, or Rejected). Forms you marked as required in settings show a Required badge. Finished forms also show a Completed date.

A form counts as completed when its status is Pending approval or Approved.

When the camper still has counted forms unfinished, Send reminder appears on the right side of that panel heading. Use it to email guardians for this camper only (see Send a reminder for one camper).

From the gear menu on a form you can:

  • Reset to In Progress: Pending Approval: Approve (approving also sets the camper's account to Active, and may ask about a deposit if your form charges a deposit on approval)
  • Reject (may offer to remove purchased sessions when the camper has them)
  • Delete (the camper would need to start the form again)

These actions use the same confirmation prompts as the form tools on a camper's profile.

See when a family was last reminded

After you send a reminder from Camper Hub, the roster remembers it for that camper and season.

  • Under the Forms counts, a line such as Reminded just now, Reminded 2 hours ago, or Reminded 3 days ago appears once a reminder has gone out.
  • The same wording appears next to Send reminder in the expanded Forms for panel.
  • Within the first 24 hours, that line is highlighted and the Send reminder button looks softer, so you can tell the family was chased recently without opening the dialog.

Send reminders for missing forms

When at least one enrollment row is missing counted forms, Send reminders appears above the roster (to the right of the filter note).

  1. Click Send reminders. Recipients are everyone in the current season filter who still has forms outstanding, even if you filtered the roster with a tile.
  2. Review the Send reminders dialog: how many people still have forms outstanding, how many emails will go out, and a short sample of names and addresses.
  3. Under Send to, choose Primary guardian only or Primary and secondary guardian. Changing the choice recounts recipients before you send.
  4. When some of those campers were already reminded in the last 24 hours, a checkbox such as Skip the 2 who were already reminded in the last 24 hours appears (checked by default). Leave it on to avoid a second email the same day, or clear it if you want those families included again. The summary notes how many were left out, or that they will be emailed again.
  5. Confirm with Send reminders, or cancel.

Each recipient gets one email that lists the unfinished forms for that camper. Guardians without an email on file, and guardians who unsubscribed from form notifications, are skipped; the dialog notes those counts when they apply. If a season still has no required forms configured, the dialog notes that those reminders list every form for the season.

Send a reminder for one camper

When you need to chase one family (for example after a phone call), expand that camper's Forms panel and use Send reminder instead of the bulk button.

  1. Expand the Forms cell for the camper. Send reminder appears only when counted forms are still unfinished.
  2. Click Send reminder. The Send reminder dialog shows the camper name, how many forms are outstanding (and their names), and the email addresses that will receive the message.
  3. Under Send to, choose Primary guardian only or Primary and secondary guardian. Changing the choice updates the To line before you send.
  4. If the family was reminded in the last 24 hours, the dialog warns Already reminded with how long ago, and the confirm button becomes Send again. Older reminders show a quieter Last reminded note instead. Per-row send never skips on recency; you choose whether to send again.
  5. Confirm with Send (or Send again), or cancel.

If the family has no email on file, or nothing is outstanding any more, Campium tells you instead of opening the send step.
