Edit and publish the platform legal documents, such as terms of service, that families see, and draft a notification to users when they change.

The Legal Documents screen is where you manage the platform legal documents that families see on public pages, such as your terms of service. You edit each document's content in a rich text editor, then publish a new version. Publishing records a new version, updates the "last published" date shown on the public page, and creates a draft email so you can notify users of the change.

This screen is restricted to Campium super-admin users. If you do not have access, you are redirected to your admin settings. Reach out to Campium if you believe you should be able to manage legal documents.

Publishing changes the wording that families and staff legally agree to. Confirm your document text with your own attorney. Campium provides the tools to edit and distribute these documents but does not provide legal advice.

Go to Admin → Legal Documents. The screen shows a row of tabs, one for each legal document, and a rich text editor for the document you have selected.

Each tab represents a separate document (for example, your terms of service). The tab you select loads that document's current content into the editor.

Edit a document

Choose the document

Select the tab for the document you want to change. Its current content loads into the Document body editor. Switching tabs keeps any edits you have already made to another tab in that session.

Edit the content

Use the rich text editor to update the wording, headings, and formatting. What you enter here becomes the content families see on the public page.

Add a change summary

In the Change summary field, write a short plain-text description of what changed. This is optional, but it is included in the notification draft so recipients understand what is different.

Preview the public page

Use Preview public page to open the document as families see it, in the parent portal viewer, in a new tab. Review the layout before you publish.

The Last published date shown on site reflects the current live version. It updates only after you publish a new version.

Publish a new version and draft a notification

Publishing saves your edits as a new version and creates a Communication email draft so you can notify users.

Start publishing

Click Publish. A dialog opens confirming that publishing saves a new version and creates an email draft you review and send later.

Choose the draft recipients

Select who the notification draft should be addressed to:

  • Me (testing) — Drafts the notice to yourself so you can review it before sending it more widely.

  • Administrator role only — Addresses the draft to administrator-role users.

  • Anyone with CampiumDB access (staff roles) — Addresses the draft to staff users who can sign in to the admin system.

  • All active users (email-enabled) — Addresses the draft to every active user who can receive email.

Confirm publishing

Click Publish in the dialog. Campium saves the new version, updates the public "last published" date, and creates the email draft, then takes you to that draft.

Review and send the notification

The notification is created as a draft, not sent automatically. Open it, review the wording and recipients, and send it when you are ready.

Publishing takes effect on the public page immediately, but the notification email is only a draft. Families see the updated document right away; they are only emailed once you review and send the draft.

  • Preview before publishing: Use the public preview to confirm the document reads correctly to families.

  • Write a clear change summary: A short, plain description helps recipients understand what changed and reduces support questions.

  • Draft to yourself first: Choose the testing recipient option to review the notification email before sending it to everyone.

  • Keep your attorney in the loop: Have legal wording reviewed outside Campium before you publish it.
