Staff Hub

Use Staff Hub as your operations dashboard to track staff application progress, filter by profile fields, application status, and contracts season by season, and to send contracts to one person or several without leaving the page.

What Staff Hub is for

Staff Hub is the operations dashboard for managing where each staff member is in your hiring process. It brings together, in one table, everyone who has started a staff form for the seasons you pick, along with their application status, key profile fields, form progress, and contract activity.

Staff Hub does not replace building or reviewing the staff application itself. Use the Staff Applications guide to create the form and understand how applicants log in and complete it. Come to Staff Hub when you want to track many people at once and move hires forward.

Staff Hub reads from the staff forms you connect to each season. If the table looks empty, open Staff Hub Settings (top right of the page) and choose at least one staff form for each season, then save. Until a form is connected for a season, no one shows up for it.

Open Staff Hub

Staff Hub is available from Admin → Staff Hub. You need the Staff Hub permission (under the Admin category). Administrators get it by default.

When it loads, you see a Season filter, five summary metrics, and a roster table of staff for the seasons in the filter.

Filter by season

Each hire can belong to one or more seasons. Use the Season filter at the top left to choose which seasons you want to work with, then click Filter. Clear returns you to the default view. The season list includes past and inactive seasons, not only active ones.

The roster lists staff who have started the configured staff form (registration or standard) for the seasons you selected. If you do not choose a season, Staff Hub uses your default season.

Filter by application status

When your application status field has options, an Application status multiselect appears next to the season filter. Pick one or more statuses to narrow the roster (including Not set when people have no value yet). Selecting every status, or clearing the control, shows everyone again. Name search and this filter apply together. Empty results show No staff match your search or status filter.

Read the summary metrics

Above the roster, five tiles summarize the current season filter:

  • Ready for Offer — staff who have completed at least one form but have no contract yet.

  • Awaiting Forms — staff who have not finished every form they started.

  • Contracts Sent — the number of contracts sent to staff in the filter.

  • Total Signed — the number of signed contracts.

  • Signed This Week — contracts signed in the last seven days.

Tile counts always reflect the full season filter until you apply a profile-field filter (below). Name search alone does not change the tiles. Click a tile to filter the roster to that group. Helper text under the tiles says Click a tile above to filter this list. Click the same tile again to show everyone. When a tile filter is on, the note explains who you are seeing (for example Showing N staff who have completed a form and have no contract yet. Click the tile again to show everyone.). Your tile choice is remembered in this browser.

Filter by profile fields

Use Filters (in the bar above the table) to narrow the roster by staff profile answers. The panel title is Filter staff by profile fields. Helper text: Changes apply as you make them. Every filter must match.

  1. Click Filters.
  2. In a row, Pick a field, choose an operator, then enter or pick a value.
  3. Matching rows stay visible; others hide in place. Tile counts recount from the match set. Status shows Updating... while the filter applies.
  4. Add filter for more rows (every complete row must match). Clear all removes every row and chip.

Supported field types: Choose One, Choose Many, Ranked Choice, Text, and Date. Operators match the Camper Hub filter (for example is, contains any, contains, is on or after, is empty). Up to 20 rows. Role-hidden fields are not offered.

Save as... / Saved filters / Delete work the same as on Camper Hub: named filters are shared with everyone at your camp who uses Staff Hub, and your last-used filter is restored when you return.

Export the roster

Above the table, an export toolbar (Copy, Excel, CSV, PDF, Print, Email) exports the staff currently shown after your filters (including profile-field filters). Tooltip: Exports the staff shown, after your filters.

Work the roster table

Each staff member is one row. From left to right, the roster shows:

  • Application status - the main status of where the person is in your process (for example, applied, interviewing, hired). This always comes from the staff profile field named Application Status (any capitalization). When the field is set up as a dropdown, you can change the status right in the table and it saves immediately. After a season's profile snapshot finishes (Snapshot ready on Seasons), Campium clears that season's Application status for staff on that season's roster (people still on another active season's roster keep their status). Returning staff start the next hiring cycle blank instead of carrying last season's value. The snapshot still holds the historical answer for reporting.

  • Staff — the person's name (a link to their profile), city and state when available, cell phone, email, and a separate user status badge (Active, Inactive, Pending, and so on). The user status is also editable inline. When the person has seasons on their profile, a muted N season / N seasons line appears at the bottom of the cell (hover for the full list).

  • Seasons — the seasons the person is attached to for the current filter. This column is hidden when you filter to exactly one season (every row would show the same value).

  • Profile field columns — any staff profile fields you chose to display. Text fields and dropdowns can be edited directly in the table; your change saves on its own.

  • Forms — a Started and Completed count. When the person has reference requests, a References done/total line appears as well. Click the cell to expand a panel: References first (same statuses and actions as the profile References card, including Reopen for completed ones), then a per-season breakdown of each staff form and its status.   • W-4 / I-9 / W-4 & I-9 - hiring document status when W-4 collection and/or I-9 verification is on (I-9 also needs the I-9 Records permission). Download filled PDFs from the cell when a form is signed.

  • Contracts — a Total / Sent / Signed rollup. Click it to expand the contract history and the send-a-contract panel.

Use Search staff above the table to filter the roster by name. It matches the Staff column only. Summary tile counts stay on the full season filter; click a tile to filter the roster itself.

Choose which fields and statuses appear

Open Staff Hub Settings (top right) to control the dashboard:

Pick fields to display and edit

Under Fields to display and edit, search and select which staff profile fields appear as columns. These columns are editable inline for everyone in the roster.

Confirm Application Status

The first column always uses the staff profile field named Application Status. Create that dropdown under Admin → Profile Fields if it is missing. There is no separate override field.

Set W-4 and I-9 automatic requests

When W-4 collection is on, use Request a W-4 automatically to pick Application Status values that trigger a request (empty = By hand only). Optionally check Also collect New York Form IT-2104. When I-9 verification is on and you have I-9 Records, use Request an I-9 automatically the same way. See W-4 collection and I-9 verification.

Connect staff forms to each season

Under Staff form by season, choose one or more staff forms (registration or standard) for each season. Forms marked (assigns season) add staff to that season when completed. This is what populates the roster, so set it for every season you use.

Reveal other or past seasons when needed

When your season filter is a subset of seasons, click Load all seasons to reveal the remaining seasons so you can still set staff forms for them. Helper text: Seasons outside the current filter. Their staff-form choices are kept when you save. When you are not filtering to a subset, past seasons (end date already passed) stay collapsed behind the same Load all seasons control, with helper text: Seasons whose end date has passed. Their staff-form choices are kept when you save. Click Hide other seasons to collapse the list again.

Save

Click Save Settings. Your choices apply the next time the roster loads.

See form progress for one person

Click the Forms cell in any row to expand a panel. When references exist, a References section lists them first. Below that, the panel groups the person's staff forms by season and shows the status of each one, along with the completion date when a form is finished. Use this to see exactly which follow-up forms are still outstanding for a hire.

For a completed form, use the printer icon (title Print form, with the form name) to open the same print dialog as the profile Forms tab, including Layout (Compact or Expanded). See Forms.

Track and send contracts from the hub

Click the Contracts cell to expand the contract panel for that person. It has two parts:

  • Contract history — every contract created for the staff member, its template name, when it was created, when it was signed, its current status, a button to view the contract, and a Print icon for a print-friendly page.

  • Create & Send — a quick way to send a new contract without leaving Staff Hub.

To send a contract:

Expand the Contracts cell

Click the Total / Sent / Signed rollup in the person's row.

Choose a template and season

Pick a contract template and the season the contract is for. When the person belongs to a single season, it is pre-selected for you.

Create and send

Click Create & Send. Campium generates the contract and emails it to the staff member, then refreshes so the new contract appears in the history and the summary tiles update.

Contract templates come from your Contracts setup. If the template dropdown is empty, create an active contract template first. See the Contracts guide.

Send contracts to several staff at once

When you need to send the same template to more than one person, use the roster checkboxes instead of opening each row.

  1. Check the box on each staff row you want, or use the header checkbox to select everyone currently visible in the table.
  2. A bar appears with N selected, Send contracts, Clear, and (when those modules are available) Request W-4 and/or Request I-9.
  3. Click Send contracts. The Send contract modal opens (title becomes Send contracts when more than one person is selected).
  4. Choose a Contract template and Season.
  5. Review Will be emailed. Anyone who already has that template for that season appears under Already have this contract for this season and is skipped.
  6. Enter the Email subject and Email body. You can personalize with merge fields such as {user_name}, {template_name}, {contract_url}, and {agency_name}. Each person gets their own values.
  7. Click Send. A progress dialog titled Sending contracts (or Sending contract for one person) lists each person as Sent, Skipped, or Failed, with running tallies and a Close button when the run finishes.

Sent means the contract was created and emailed. Skipped is someone who already has that template for that season (detail: already has this contract for this season). Failed shows a short reason. People who still need a retry stay checked; the bar can show Still selected from the last send…, and Send contracts is the retry. Someone who got a contract row but no email is cleared from the selection so a retry does not treat them as a duplicate skip.

Contract history and the Contracts Sent tile update without reloading the page. You need the same admin access used to generate contracts elsewhere. Sending requires at least one active contract template. Clear the selection with Clear when you are done.
