System Emails
View and edit the automated, transactional emails Campium sends on your behalf, such as form approval, pending, and rejection notices, receipts, and invoices, including their subjects and content.
What System Emails are
System Emails are the automated, transactional messages Campium sends on your behalf as families and staff move through your portal. Unlike a one-off email blast, these go out in response to an event, for example when a form is approved, marked pending, or rejected, or when a receipt or invoice needs to be sent.
You do not write these each time. Campium already has a template for each type, and this screen lets you view and adjust the subject line and content so the wording matches your camp's voice.
System Emails are templates for messages Campium sends automatically. Editing one changes what everyone receives going forward, so review your wording before saving.
Open System Emails
Find System Emails in the admin area under System Emails.
The screen lists the templates grouped by type, with how many times each has been sent and its open rate. Use the dropdown at the top to switch between groups.
Understand the email types
The type dropdown filters the list into these groups:
Email types

Notifications — event-driven messages tied to your workflows, such as form approval, pending, and rejection notices. These are the ones most camps edit most often.

System — core transactional messages, such as receipts and invoices.

Welcome — the onboarding messages in your welcome sequence, ordered by how many days after the sequence starts they send.

CRM proposal follow-up — the follow-up messages tied to proposals in your CRM, also ordered by day in the sequence.
Each row shows the template name (or its subject if it has no name), whether it is active, when it last sent, how many times it has sent, and its open rate.
View and edit a template
Click a template in the list to open the editor.
Open the template
From the System Emails list, click the email you want to change.
Update the subject
Edit the Subject field. This is the subject line recipients see in their inbox.
Edit the content
Use the rich text editor to change the body. You can format text, add links, and adjust the layout. Keep any placeholders that fill in details like a name or amount so the message stays personalized.
Turn the template on or off
Use the active toggle to control whether Campium sends this email. An inactive template stays saved but is not sent.
Save your changes
Save the template. Your new subject and content apply to messages sent from that point forward.
To start a template from scratch, use New Email at the top right of the System Emails list and choose the type it belongs to.

Some templates have a Send option so you can send the message manually in addition to the automatic trigger.

Welcome and CRM proposal follow-up templates are part of a timed sequence. The number of days after the sequence starts controls when each one sends.

Open rates on the list help you spot messages that may need a clearer subject line.
Optional staff emails (not System Email templates)
Some Campium emails are optional digests and alerts for staff. You do not edit them on the System Emails screen. Instead:
- Personal choices: your name menu → Settings → Email Notifications (Activity digest, Payment health digest, Form opening digest, ACH returns digest, Wait list signup alerts, Campium product emails). Use Send me a sample on a type to preview it. See Account.
- Organization-wide on/off: Admin → Email Notifications (Administrators can also use Send test there).
Form opening digest (Administrators only) is also managed there. Campium sends it the day before a form’s Start Date. See Forms. It is not a System Emails template.
