Merge Users
Combine two duplicate user records into one, moving payments, forms, contracts, and other history onto the account you keep. Merging is permanent and requires the merge users permission.
When to merge users
Use Merge Users when the same person exists twice in your system, for example a camper who was added again during a new registration or imported under a slightly different name. Merging combines the two records into one so all of their history lives in a single place.
Merging is permanent and cannot be undone. Confirm you have the right two accounts before you merge. When in doubt, review each profile first.
Permission required
Merging is limited to users with the merge users permission. If you do not have it, the tool tells you access is denied. Ask an admin to grant the permission through your roles and permissions setup.
How a merge works
A merge always has two sides:
-
User A is the duplicate that is merged away. After the merge, User A is set to Archived.
-
User B is the record you keep. You choose the status User B ends up with (Active, Inactive, Pending, Lead, or Archived).
Campium moves User A's history onto User B and combines the two profiles into one.
Merge two users
Open Merge Users
Go to the admin area and open Merge Users.
Select the two accounts
Use the User A and User B pickers to search for and choose each person. As you select, Campium shows each one's name, account number, email, status, user type, session and season counts, and creation date so you can confirm they are the same person.
Review the comparison
A comparison of the two profiles appears. For fields that differ, use the Use A or Use B buttons to pick which value the merged record should keep.
Choose the final status for User B
Select the status User B should have after the merge. User A is always archived.
Merge
Click Merge Now. The merge runs and a results list shows what was moved.
What gets combined
When you merge, Campium moves User A's records onto User B, including:
-
Emails and notes
-
Payments and scheduled payments
-
Sessions and seasons
-
Forms, form sends, and form product answers
-
Attendance records and dismissals
-
Medical records and medication logs
-
Uploaded files
-
Contracts
-
Canteen payments and purchases
-
Product associations and bus assignments
The results panel lists the counts for each so you can confirm the merge did what you expected.
Profile field values are combined too. Where a value exists on User A but not User B, it carries over. Where both differ, the value you chose with Use A or Use B is kept.
Related tool: move a user into a family
Merging is for two records that are the same person. If instead you have one correct person who is simply in the wrong family, use Move User Into Family rather than merging.
That tool re-parents a single user into an existing family, keeping their identity and moving their family-scoped records onto the target family. If the target family already has someone with the same name, Move User Into Family points you to Merge Users to combine those duplicates. Moving a user into a family uses the same merge users permission.
