CampiumDB Users
Manage staff logins, roles, statuses, and cross-account access from the CampiumDB Users page in Campium Admin.
Manage staff access from one page
CampiumDB Users shows every person in your organization who has a staff-facing role, such as office staff, nurses, or administrators. Use this page to see who can sign in, assign roles, change statuses, and manage access across organization accounts.
Parents and campers do not appear here. This page only lists people who can sign in to the admin side of CampiumDB.
Access and permissions
CampiumDB Users lives in the Admin section of Campium.
To access CampiumDB Users, your staff role must include the Create Role permission. If you do not see CampiumDB Users under Admin, ask an Administrator to grant access or make the change for you.
Open CampiumDB Users
Open the Admin menu
- Sign in to CampiumDB.
- Open the left navigation.
- Expand Admin.
Open CampiumDB Users
- Click CampiumDB Users.
- The page opens with a table of staff users who have a role in the current organization account.
What appears on the page
The main table lists staff members who already have a role. Each row shows what access they have in the account you are currently using.

| Name | The person's name. Click it to open their full profile. |
| Role | The role assigned in the current organization account. Click it to change the role. |
| Status | The user's current status, such as Active or Inactive. Click it to change the status. |
| Last Login | The last time the person signed in. A blank value means they have never signed in. |
| Access | A button for managing access to other organization accounts. This appears only if your organization has more than one account. |
The top right of the page includes Add New User With Role.
Add a new user with a role
Use this option when the person already exists in CampiumDB as a staff record and now needs a login with a role.
Start the new user flow
- Click Add New User With Role.
Choose staff members
- In Staff Names, start typing the person's name.
- Select the person from the list.
- Add more than one person if needed. Everyone selected in this step receives the same role.
- Only staff members with an Active staff status appear in the search.
Assign the role
- In Role to Assign, choose the role to give them, such as Administrator, Office, or Camp Nurse.
- Roles come from Admin → Roles & Permissions.
Save the change
- Click Save.
- The page reloads and the new user appears in the list.
If the person does not appear in Staff Names, either they do not have a staff record yet or their staff status is not Active. Add them as a staff member or reactivate them from their profile, then return to CampiumDB Users.
Change someone's role
A role controls what the person can do after they sign in.
Open the role editor
- Find the person in the list.
- Click their Role.
Select the new role
- Choose the new role from the Role dropdown.
Save the role
- Click Save Role.
Remove a role
If you select a blank role, CampiumDB sets the person's status to Inactive so they can no longer sign in.
If you want to remove the role without changing the person's current status, select Keep the user status the same before saving. This matters when the person should remain active in another user type, such as an active camper or parent.
Change someone's status
Status controls whether the person can sign in and how they appear in reports. Use Inactive when someone leaves and should no longer have access.
Open the status editor
- Click the Status link in the person's row.
Choose the new status
- Select the new Status, such as Active or Inactive.
- Optionally choose one or more User Types.
Save the update
- Click Change Status.
Keeping a user inactive preserves their profile and history. You do not need to delete the user to stop sign-in access.
Open the full profile
Click the person's Name in the list to open their full profile. The profile contains contact information, custom fields, history, and other user details.
Manage account access across organization accounts
If your organization uses more than one CampiumDB organization account, use Account access to let a staff member open another account and work there with a specific role.
This setting does not change the person's role in the account you are currently viewing. To change their role in the current account, use the Role link on the CampiumDB Users page.
Open account access
- Click Account access on the person's row.
Add the other account
- Add a row for each other organization account they should be able to open.
Choose the role for that account
- Select the Role they should have in each additional account.
Save account access
- Click Save.

Common situations
A new staff member should be able to sign in as an Administrator
Add them as a staff member first. Then use Add New User With Role, choose their name, assign Administrator, and save.
Someone is leaving and should no longer be able to sign in
Open their Status, change it to Inactive, and save. Their login stops working immediately, while their history remains in place.
Someone needs a different level of access
Open their Role, choose the new role, and save. Use this for promotions, reduced access, or changes in job responsibilities.
Someone works in two organization accounts
Set their role in the current account on CampiumDB Users, then use Account access to assign a role in the other account.
A person should be here but does not appear
CampiumDB Users only shows people who already have a role. If they are a staff member without a role, add them with Add New User With Role. Parents and campers never appear in this list.
Frequently asked questions
Role controls what the person can do after signing in, including which menus and tools they can use. Status controls whether they can sign in at all.
No. CampiumDB does not delete the account. It sets the person to Inactive so they can no longer sign in, while keeping their profile, history, and data in place.
If you do not want the status to change when removing the role, select Keep the user status the same before saving.
Roles are managed under Admin → Roles & Permissions. If the role is missing, create it there and then return to CampiumDB Users.
Yes. The Staff Names field lets you select multiple people during Add New User With Role. Everyone selected receives the same role.
Last Login shows the last time the person signed in to CampiumDB. A blank value means the account exists but has never been used to sign in.
Staff members whose role includes the Create Role permission can use CampiumDB Users. This permission is typically assigned to Administrators.
