Automated Emails

Edit the wording of emails Campium sends for you, send a test to yourself, and see which messages use standard wording.

Automated Emails is where you review and edit the messages Campium sends on its own, such as upcoming charge notices, form reminders, wait list updates, birthday wishes, and your email footer.

You need the Site Settings permission. Open Admin → Automated Emails.

What you see on the list

The page groups every automated email Campium sends for your camp. Helper text: These are the emails Campium sends for you on its own. Edit the wording of any marked Edit. Some belong to one form or one season, so you change those where that form or season is set up.

Each row can show:

  • On or Off when the email has a switch
  • Your wording when you have customized it
  • Edit and Send Test for emails you edit here
  • Links such as Forms or Email Templates when the wording lives elsewhere
  • Standard wording (and sometimes Preview) when Campium keeps fixed text

Footer helper: Send Test emails the saved wording to you, filled in with sample details. To turn payment emails on or off, go to Site Settings > Payment Info.

Payments

Upcoming scheduled chargeSent before each scheduled payment on the days you choose under Admin → Site Settings → Payment Info. Turn Charge Coming Email on there to send it.
Scheduled payment receiptSent after a scheduled payment goes through when Send Scheduled Payment Receipt is on under Payment Info.
Scheduled payment failedStandard wording when a scheduled payment is declined.
ACH payment returnedStandard wording when the bank returns an ACH payment after it settled.

Wait list

RowWhat it is
Wait list: acceptedSent when you move a camper off the wait list and enroll them.
Wait list: spot availableSent when you offer a wait list spot and let the family accept or decline.

Forms

RowWhat it is
Form approved, pending, or rejectedEdited per form. Links to Forms and Email Templates.
Reference requestSent to references an applicant lists, and again as a reminder.
Form reminder: due soonSent on a form's reminder days before its due date.
Form reminder: past dueSent on a form's reminder days after its due date.

On a form's Settings tab, Preview Before-Due Email / Preview Past-Due Email stay next to Edit Wording, which opens the matching row here.

Campers and staff

RowWhat it is
Happy birthdaySent on each camper or staff birthday when the switch is on. The Birthday Report also has Edit email.
Profile photo reminderEdited per season on the Profile Photo Report.

Donations and tips

These rows appear only when the matching module is on:

  • Donation receipt (standard) when donations are on
  • Tip receipt (standard) when tipping is on

Every email

RowWhat it is
Email footerAdded to the bottom of emails you send from Campium and most automated ones. Admin → Site Settings → Basic also links here with Edit in Automated Emails.

Edit an automated email

  1. Open Admin → Automated Emails.
  2. Click Edit on the row you want, or open a direct link such as Edit Wording on a form.
  3. The editor shows Subject (when the email has one) and Message or Footer text.
  4. Use Merge fields on the right: click in the subject or message, then click a field to insert it. Fields marked Required must stay in the message.
  5. Click Save.
  6. Optionally click Preview, Send Test, or Reset to default.

Send Test emails what is on screen to you, filled in with sample details. It does not save. Helper text under the buttons says the same.

Reset to default puts back the standard subject and message. When you are on custom wording, a note says: You are using your own wording. Reset to default puts back the standard email.

Use All automated emails at the top to return to the list.

Turning payment emails on or off still happens under Admin → Site Settings → Payment Info. Automated Emails is where you change the wording.

Send a test from the list

On an editable row, click Send Test without opening the editor. Campium emails the saved wording to you with sample details.

  • Email overview
  • Mass Emails for one-off or scheduled blasts you compose yourself
  • Email Templates for reusable designs and form approval or rejection messages
  • Birthdays for the birthday report and turning birthday email on
  • Forms for form reminder settings and Edit Wording
