Account Balance report
Review per-family outstanding balances for a season and compare them to scheduled payments to spot gaps in your collections plan.
Overview
Use the Account Balance report (Accounts Receivable) to see which families still owe money for a selected season or program group and how those balances compare to their scheduled payments.
The report lists all families with a non-zero balance for the selected season, along with contact details, registration information, revenue, scheduled payments, and current balance. Summary cards at the top of the report show your Overall balance, Overall scheduled, and the Difference between them.
Use this report when you want a collections view by family: who owes money, how much they owe, how much is already scheduled to be paid, and where those numbers do not line up.
What the report shows
The Account Balance report is scoped by season/program group. It includes only families with a non-zero balance for the selected season or program group(s).
Each row represents a family account and includes:

The primary contact and the users on the account

Registration context (registration date and products)

Contact information (email)
-
Financial totals (revenue, scheduled payments, and outstanding balance)

A per-family note you can edit inline
Use it alongside your scheduled payments and deposit reports to monitor whether what is owed is actually planned to be collected.
Filters
Season / program group
The primary filter is Season / program group.
- Season / program group: Select the season or program group you want to review. The report then shows families with non-zero balances for that selection.
If you use multiple program groups within a season, run the report once per group if you want to focus on a specific camp or program.
Summary cards
Above the family list, the report shows three summary cards for the current selection:

Overall balance: The combined outstanding balance across every family in the report.

Overall scheduled: The combined total of future scheduled payments across those families.

Difference: Overall balance minus Overall scheduled, so you can see at a glance how much of what is owed is not yet planned to be collected.
Columns in the Account Balance report
This section describes the main columns you will see for each family row.
Family and registration details

Primary Contact: The primary contact on the family account.

Users: The users linked to this family’s registration for the selected season.

Products: The camp sessions, add-ons, or other products tied to the family’s registration.

Reg. Date: The date the family completed registration for that season or program group.
Contact information
- Email: The primary contact’s email address, so you can reach out about outstanding balances or payment plan changes.
Financial totals

Revenue: The total revenue for this family for the selected season or program group. This is what the family owes before payments.

Balance: The current outstanding balance for the family for the selected season or program group, after payments and credits.

Scheduled: The total amount of future scheduled payments for this family that have not yet been completed for the relevant charges.
Notes and optional columns

Note: A free-text note for the family that you can edit inline directly in the report. Use it to record collection status, promises to pay, or other context that stays with the row.

School and profile-field columns (optional): You can add a School column and columns for your profile fields using the Display Columns selector. These appear only when you choose to show them.
Use Revenue vs Balance to see how much of the family’s total fees remain unpaid, and compare Scheduled vs Balance to confirm whether future scheduled payments will fully cover what is still owed.
Choose which columns to show
Use the Display Columns selector to tailor the report to what you need to see.

Turn on a School column to show each family’s school.

Turn on columns for your profile fields to pull that data into the report.

Columns you do not select stay hidden so the report stays focused.
Filter to mismatched balances
Above the family table, use the All / Mismatched toggle to focus the list:
- All shows every family in the report (with the total row count on the button).
- Mismatched shows only families whose scheduled payments do not equal their outstanding balance (the same families with red Balance and Scheduled cells). The button is disabled when there are no mismatches.
When Mismatched is selected, a note reminds you that column totals below still reflect all rows, not only the filtered ones. The primary contact column stays visible while you scroll horizontally.
Send an email from the report
The Account Balance report includes a Send Email action so you can contact families about their balances without leaving the report.
- Optionally set the view to All or Mismatched so the email list matches the families you are working with.
- Select Send Email and write your message.
- Select Send Email again in the composer. Campium loads the real recipient list for the selected season and view, then asks Send account balance email?
- Review the season name, Mismatched only when that filter is on, how many families and email addresses will receive the message, a short sample of names with balances, and any note about families skipped because neither guardian has an email on file.
- Confirm with Send Email, or choose Cancel.
Only families with a positive balance in the current view are emailed. If nobody qualifies, you see a warning instead of the confirm dialog.
Red-cell mismatch warning
When a family’s scheduled payments do not equal their outstanding balance, the Balance and Scheduled cells for that family are highlighted in red. Only those two cells turn red, not the whole row. Hovering over a highlighted cell shows the tooltip Scheduled amount does not equal the balance.
When you see red Balance and Scheduled cells:
- Switch the view to Mismatched to work only that priority list.
- Review the family’s scheduled payments and payment plan.
- Confirm whether additional payments need to be scheduled, or if charges, discounts, or manual payments need adjustment.
- Follow up with the family if the plan does not fully cover the remaining balance.
Run the report
Open the Financial reports menu

Sign in to your Campium admin portal.

Open the Financials navigation.

Select Accounts Receivable.
Choose the season / program group

In the Season / program group filter, select the season or program group you want to review.

If needed, repeat the report for other program groups within the same season.
How to use this report in your workflow
Use the Account Balance report regularly during your season to:

Identify families with outstanding balances that are not fully covered by scheduled payments (red Balance and Scheduled cells).

Confirm that families on plans have enough future payments scheduled to cover their balances.

Prioritize outreach to families who need updated payment plans or additional payments before session start dates.
