Deposit Summary report
Review deposit batches, summary totals, estimated bank deposit dates, and match a bank-statement amount to a batch.
Overview
The Deposit Summary report shows two related views of your payments in Campium:

New deposits – individual payments that are ready to be deposited but are not yet in a batch.

Deposit summary – existing deposit batches, each showing a total and, when fee reporting is enabled, the fees and net amount reported by the processor.
Use this report to reconcile check and cash activity, group payments into deposits, and compare what Campium shows to your bank and processor statements.
The Deposit Summary uses the date the payment was entered in Campium, not the date funds moved at the bank or processor.
Sections in the Deposit Summary
The page contains two main areas:

New deposits
A collapsed card that lists recent check, cash, and certain manual payments that have not been included in any deposit yet. It is not an always-visible table — expand the card when you want to create a new deposit from individual payments. When the canteen feature is turned on, eligible canteen payments are included here too. -
Deposit summary
Shows deposits that have already been grouped and sent through your normal processing. Each row represents a deposit and includes the total amount and, when fee reporting is enabled, the fees and net amount reported by the processor.
Think of the New deposits card as a staging area for money you still need to group into a deposit, and Deposit summary as your history of deposits that can be matched to bank and processor reports.
Switch between By-batch and All-transactions views
The Deposit summary offers a view toggle:

By batch — Groups payments into deposit batches, one row per batch. This is the reconciliation-friendly view that matches your bank and processor deposits.

All transactions — Lists every individual transaction instead of grouping them into batches, so you can drill into the underlying payments.
Switch between the two views depending on whether you are reconciling whole deposits or reviewing individual transactions.
Summary totals above the batch table
When the By batch view has rows for your date range, Campium shows summary totals above the table:
- Gross - sum of batch totals in the current date range.
- Fees and Net - shown when fee amounts are available for those batches (not for every processor).
- Undeposited (Finix) - net from Finix settlements in the current range that are not yet confirmed deposited to your bank. Includes In transit, Overdue, and Sent to bank rows; excludes Deposited batches and ACH returns. Hover the card for the same explanation.
- ACH returns - total returned ACH amount for the range, with the return count in parentheses. Hover the card for the ACH return rate against ACH volume when Campium can calculate it.
These cards update with the same date range as the Deposit summary table.
Find a bank deposit
Use Find a bank deposit when you have a dollar amount from your bank statement and need the matching Campium batch.
- Open Financials → Deposit Summary and stay on the By batch view.
- Set Start date and End date to cover the statement period.
- In Find a bank deposit, enter the bank amount (for example
1,234.56). - The table filters to batches whose Net or Total matches that amount. The status text shows how many rows matched.
- Clear the field with × to show the full list again.
If you see No match, the bank line may combine more than one batch, or your bank may show a net that already withholds fees differently than Campium.
Filters and date range behavior
The Deposit Summary includes a simple Start date and End date filter above the page.

The date range applies only to the Deposit summary table (batched deposits).

The New deposits table always shows the current list of payments that are not yet in a deposit, no matter which dates you choose.

Start date — First date in the range used to show batches in the Deposit summary table. By default, this is the first day of the current month.

End date — Last date in the range used to show batches in the Deposit summary table. By default, this is the last day of the current month.
The date filter looks at when the payment was entered in Campium. It does not use bank settlement dates or processor cut‑offs. If a payment was entered outside your chosen range, it will not appear in the Deposit summary for that period, even if it settled during those dates.
The New deposits list is independent of the date range. It always reflects the current set of check, cash, and eligible manual payments that have not yet been grouped into a deposit.
Columns in the New deposits table
The New deposits table shows individual payments that can be added to a deposit.

Select — Checkbox that lets you choose which payments to include in a new deposit. The header includes a Toggle All checkbox that selects or clears every payment currently shown in the table.

Date Entered — The date and time the payment was recorded in Campium. This reflects when staff or the system entered the payment, not when money moved between banks.

Type — The payment method, such as Check, Cash, or a manual payment type that is included in deposits.

Name — The name attached to the payment, such as the payer, family, or account holder.

Description — Any extra details about the payment, such as notes or status text, that help you recognize what the payment relates to.

Total — The amount of the individual payment, shown as a currency value.

Total (footer) — The grand total of all payments currently listed in the New deposits table. Use this to see the total amount you are about to group into a new deposit.
Columns in the Deposit summary table
The Deposit summary table shows one row per deposit batch, along with totals and, when fee reporting is enabled, the fees reported by the processor.

Date - The main date shown for the deposit. When available, this is the date the deposit settled; otherwise, it is the date the deposit was created. This is the date you typically match to your bank or processor report.

Type - The tender for the batch, such as credit card or ACH.

Batch Number - The deposit batch number. Click this link to open a detailed view of the payments included in that deposit.

# of Items - How many individual payments are included in the deposit.

Total - The full amount of all payments in the deposit, before fees.

Est. deposit (Finix) - Estimated date funds arrive in your bank. Card funding is typically T+2 business days from settlement; ACH is typically T+4 (or T+3 after you qualify). Hover the date for the calculation detail. Status badges can appear next to the date:
- In transit - Finix is transferring these funds to your bank.
- Sent to bank - Finix reports the transfer has been sent; Campium has not yet marked the batch Deposited.
- Overdue - The estimated date has passed and Campium has not confirmed the bank deposit yet. Weekends, holidays, or funding delays can push the real deposit later.

Fees (shown only when enabled) - Processing fees for the deposit. On Finix, hover for whether the figure is the actual settlement fee. On other processors with fee columns, hover can show an estimate breakdown.

Net (shown only when enabled) - The deposit amount after subtracting fees. Absent from the legacy deposit view when fee columns are off.

Reconciled - Mark the batch reviewed against your bank activity.

Grand totals (footer) - Totals for Total, and when shown, Fees and Net, across deposits in the current date range.
Use the grand totals in the footer to reconcile an entire period against your accounting system, bank deposits, or processor statements.
Deposit Summary reconciliation
The Deposit Summary report includes a Reconciled column so you can track which deposits you have already reviewed against your bank activity.
With reconciliation, you can:
- Mark a deposit as Reconciled after you confirm it.
- Add an optional note, such as a bank reference or internal reminder.
- See which deposits still need review.
- Remove reconciliation if a deposit was marked by mistake.
What changed in the report
Each row in the Deposit summary table includes a Reconciled column.
- Reconcile button — the deposit has not been reconciled yet.
- Reconciled button — the deposit has already been reconciled.
- Note line — if a note was saved during reconciliation, it appears below the button.
Recommended workflow
Open the Deposit Summary
Go to Financial → Deposit Summary.
Set the date range
Choose the date range for the period you are reconciling.
Compare each deposit
Review each deposit row against your bank activity. Use Find a bank deposit with the statement amount when you need to locate the matching batch.
Mark confirmed rows
When a row is confirmed, click Reconcile.
Add an optional note
Enter a note if needed, then confirm.
Finish the review
Continue until all confirmed rows show Reconciled.
Mark a deposit as reconciled
Find the deposit row
Locate the deposit you want to confirm.
Click Reconcile
In the Reconciled column, click Reconcile.
Enter a note if needed
In the pop-up, add a note if you want to save extra context. This is optional.
Save the reconciliation
Click Reconcile to save.
After saving:
- The button changes to Reconciled.
- The saved note appears under the button.
Remove reconciliation
If a row was reconciled by mistake:
Click the reconciled button
Click the Reconciled button on that row.
Confirm removal
Confirm that you want to remove reconciliation.
After removal:
- The button returns to Reconcile.
- The note is cleared.
Tips for cleaner reconciliation
- Reconcile in date order so review is easier to track.
- Use short notes for exceptions only, such as timing differences.
- Reconcile only after matching the amount and batch to your bank activity.
- If you are unsure, leave the row unreconciled and return later.
Troubleshooting
I clicked Reconcile but nothing changed
- Refresh the page and try again.
- Confirm you still have access to the report.
- If it continues, contact your internal admin or support team.
I reconciled the wrong row
- Click the Reconciled button for that row.
- Confirm removal, then reconcile the correct row.
My note is missing
- Notes are saved only when you confirm the pop-up.
- Re-open the row by removing reconciliation, then reconcile it again with a note.
Glossary
- Reconcile — mark a deposit as reviewed and matched.
- Unreconciled — a deposit that still needs review.
- Batch Number — the processor identifier for a deposit group.
Where the Fees and Net columns come from
When the Fees and Net columns are shown, their values are reported by the Finix settlement API — they are not computed from processing rates you configure for card and ACH transactions.
At a high level:

Campium reads the actual settled fee for each deposit from Finix.

The Fees column shows that reported fee amount.

The Net column is the Total minus the reported Fees.
These columns appear only when fee reporting is enabled for your account. The older, legacy deposit view has no Fees or Net columns at all.
Because the fee figures come directly from Finix settlement data, they reflect what the processor actually charged rather than an estimate from your own rates. For chargebacks, refunds, or special pricing, still reconcile against your processor statement for final totals.
Run the Deposit Summary report
Use the Financial area in Campium to open and run the Deposit Summary for reconciliation.
Open the Deposit Summary

Sign in to your Campium admin account.

Go to Financials in the left hand navigation area.

Select Deposit Summary from the list of reports.
Choose your date range for deposits

Use the Start date and End date fields to choose the period you want to review.

Keep the default month to review current activity, or set dates that match your bank or processor statement.
Apply and review the results

Apply the date range to refresh the Deposit summary table.

Confirm that deposit totals — and, when the fee columns are shown, the reported fees and net amounts — look reasonable for the selected period.

Review the New deposits table to see which recent payments are not yet included in any deposit.
When the page updates successfully, you see:

A New deposits table with current check, cash, and eligible manual payments that still need to be grouped into deposits.

A Deposit summary table listing deposits whose payments were entered within your chosen date range.
Create a deposit from new payments
Use the New deposits table to group selected payments into a deposit and assign a date that matches when you will deposit or have deposited the funds.
Select payments to include

In the New deposits table, use the checkboxes to select the payments you want to include.

Use Toggle All in the header to quickly select or clear all listed payments.

Check the Total at the bottom of the table to confirm it matches what you expect to deposit.
Open the Create Deposit window

Click the Create Deposit # button in the New deposits footer.

A window opens showing a summary of the payments you selected and a field for the deposit date.
Set the deposit date and save

Enter the deposit date you want associated with the new deposit (for example, the date you will bring the checks or cash to the bank).

Choose Save or Submit to create the deposit.
Understand what happens to the payments

Campium groups the selected payments into one or more deposits based on payment type (for example, cash and check).

Each payment is now marked as part of a deposit and no longer appears in the New deposits table.

The deposits will appear in the Deposit summary section once they move through your normal processing and receive a batch number.
Return to the Deposit Summary

After saving, you return to the Deposit Summary page.

The payments you grouped are removed from New deposits and will show in deposit views as processing continues.
Batch numbers (shown as Batch Number in the Deposit summary table) come from downstream Campium and processor workflows, not from the Create Deposit # action. Use the batch links in the Deposit summary when you need to review the payments inside an existing deposit.
Export, copy, and print options
Both Deposit Summary tables include export and print buttons so you can share, save, or analyze the data outside of Campium.
Available actions typically include:
Copies the current table view to your clipboard. Use this when you want to paste rows directly into an email, document, or spreadsheet without creating a file.
Downloads the table as an Excel‑compatible file. This is helpful if your finance team prefers to use formulas, filters, and formatting in a spreadsheet.
Exports the table as a comma‑separated values file that you can open in Excel, Google Sheets, or import into other accounting tools.
Creates a PDF snapshot of the table in landscape orientation on legal‑size paper. Use this when you need a fixed‑layout report for records or audits.
Opens your browser’s print dialog with the table formatted for printing. Combine this with the PDF option if you need both electronic and paper copies.
Use the table’s page‑size controls to adjust how many rows appear before you export or print. Increasing the page size lets you capture more data in a single file or printed report.
