Attendance Kiosk

Use the Attendance Kiosk to check campers in and out quickly using QR codes or PINs, with optional pickup tracking and clear front desk workflows.

What the Attendance Kiosk does

The Attendance Kiosk helps staff quickly check campers in and out by scanning a QR code or entering a PIN. It is designed for fast line flow, clear visibility, and fewer attendance mistakes at busy drop-off and pick-up times.

The kiosk also supports optional pickup tracking, so you can record who picked up each camper when they check out.

Before you start

Configure kiosk settings in the Admin site before staff use the Attendance Kiosk at the front desk.

Turn on Kiosk Mode

  • In the Admin site, go to Admin > Site Settings.
  • Find Enable Kiosk Mode.
  • Turn Enable Kiosk Mode to ON.

Optional: Enable pickup tracking

  • If you use authorized pickup tracking, make sure the Pickup Module is enabled.
  • In Site Settings, turn on Pickup Popup to prompt staff to record who picked up the camper during check-out.

When Enable Kiosk Mode is on, families see a Show QR Code option on the parent portal and can access their camper kiosk PIN.

Where to find it

Open the Attendance Kiosk

  • Go to Reports in your menu.
  • Select the System reports group.
  • Click Attendance Kiosk.

How staff use the kiosk

Staff use the Attendance Kiosk from the kiosk page to choose the right mode and check campers in and out.

Choose mode and display options

  • On the kiosk page, select Check-in or Check-out mode.
  • Turn Display Profile Info on if you want to show a quick camper or family summary after each scan.

Scan QR code or enter PIN

  • Ask the family to show the camper QR code from the parent portal, then scan it with your device.
  • If a QR code is not available, enter the camper's kiosk PIN instead.

Confirm the result

  • Review the result panel to confirm the correct camper and action.
  • If something looks wrong, use the Undo button immediately.

Use QR codes as your primary method for speed and accuracy, and use PINs as a backup when a family does not have the QR code ready.

Multiple sessions flow

When a camper is active in more than one session on the same day, the kiosk handles session selection after scanning.

After staff scan the QR code or enter the PIN, the kiosk shows the camper's eligible sessions as quick-select buttons. Staff tap the correct session, then tap Check-in or Check-out to record attendance.

You do not need to pre-select a session before scanning. The kiosk only asks for a session when the camper is active in more than one session that day.

Check-out pickup selection

Pickup selection appears only when you use the pickup features and the kiosk is in Check-out mode.

When you are in Check-out mode and Pickup Popup is turned on, the kiosk shows the list of approved pickup people for that camper after you scan. Staff select the correct pickup person and then tap Check-out to record who picked up the camper.

Train staff to always choose the correct pickup person before tapping Check-out so your pickup records stay accurate.

Parent portal experience

Families access everything they need for the kiosk from the parent portal.

  • Families can see each camper's kiosk PIN.
  • Families can click Show QR Code to open the camper's unique QR code for quick scanning at drop-off and pick-up.

Encourage families to have the QR code ready on their phone when they arrive to keep lines moving.

Undoing mistakes

Use the Undo button in the result panel to reverse the most recent kiosk action.

If staff record the wrong action or select the wrong camper or session, click Undo right away. This clears the last check-in or check-out so you can scan again with the correct information.

Make Undo part of your front desk training so staff correct mistakes immediately, while the family is still at the desk.

Best practices

Follow these practices to keep attendance accurate and lines moving quickly.

  • Confirm the mode before scanning. Always check that the kiosk is in Check-in or Check-out as needed before scanning the next camper.
  • Keep Display Profile Info on during busy times. The quick profile view helps staff confirm the right camper and avoid mix-ups when many families arrive at once.
  • Use QR as the default, PIN as backup. QR codes are faster and reduce typing errors. Use PIN entry only when a QR code is not available.
  • Use Undo immediately if something looks off. If staff notice the wrong camper, session, or pickup person, tap Undo and redo the scan while the family is still present.

Device compatibility

The Attendance Kiosk runs in a browser, so you can use it on desktops, laptops, tablets, or phones.

If you use a phone, make sure the browser supports camera-based QR scanning so you can scan the camper QR code directly from the device.
